– Learning to improve your well-being according to your needs.
– Accessing quizzes and questionnaires on geography, history, sports, entertainment, and much more.

Can I change the email associated with my account?

It depends on whether your company allows the use of an email other than the corporate email. If that’s the case, you would need to request the email change through your company. This change cannot be made from the Vitaance app.

Device Connection

I don't have a fitness app or a smart wristband

No worries, you don’t need a wristband or smartband to sync your activity.

‍If you have an Android device, you will need to do it through the Google Fit app. Check if you already have it; if not, you can download it from the Play Store.‍

If you’re an iOS user, you will need to use the “Health” app, which is likely already installed. If not, you can download it from the App Store.

Vitaance connects directly and easily to your system app, depending on whether you use Android or iOS. If you have an active connection in the “Connected Services” list, but your activity isn’t syncing, try disconnecting and repeating the process by following the instructions.

My Well-being Balance

What is the Well-being Balance and how do I use it?

The Well-being Balance is an amount of money that your company provides to help cover your well-being-related expenses. This amount is part of your salary in kind.

To access this balance, you need to upload the invoice or purchase receipt of your well-being products or services in the Vitaance app. After we validate it, we will reimburse the amount provided by your company to the account you have specified. The purchase receipt must include the expense amount, details of the purchased product or service, seller information (name and tax ID), and the purchase date.

This reimbursement system is the most flexible way to ensure that we can refund what is important for your well-being, regardless of whether you paid by direct debit, cash, transfer, or card.

When will the reimbursement be processed?

At the end of each month, we will make a transfer for the total amount of approved expenses, up to the maximum of your well-being balance.

What can I purchase with my Well-being Balance?

Each company defines its well-being policy and what expenses can be covered with this balance. Most users use it to cover expenses like gym memberships, psychotherapy sessions, sports equipment or clothing, nutrition, insurance, etc.

How long can I use my Well-being Balance?

You can use your Well-being Balance from the day it is granted until its expiration date, as long as you remain part of the company.

When will the Well-being Balance be credited?

The credit date depends on the policy and settings established by your company. Companies can set credits to occur regularly or at specific times for particular events. If your balance is recurring, it will be credited to your account on the first day of each period, according to the frequency chosen by your company.

What happens if the balance in my account is less than the amount of my expense?

If the expense amount you want reimbursed exceeds the available balance in your account, you have two options. If you want the full expense reimbursed, you’ll need to wait until you have enough money in your account to cover the total expense. Alternatively, if you prefer to receive the reimbursement immediately, you can submit the expense, and if it’s validated, we will reimburse the total available balance in your account at that time.

IMPORTANT: Please note that you cannot submit the same expense more than once, as it will be denied.

How can I check my balance and view recent transactions?

You can access your balance from the “My Benefits” section. There, you will also find the expense history along with their status.

How much time do I have to use my Well-being Balance?

The available period to use your Well-being Balance depends on the frequency with which it is granted. We will inform you of the expiration date in the recharge email and within the app.

What happens to the expired balance?

Expired balance is not lost; instead, it is donated to an NGO. Soon, you’ll have the option to choose the NGO you wish to donate to, and you’ll be able to track the donated amount directly from the app.

Why do I need to provide my IBAN?

We need your IBAN to identify the account where you want to receive reimbursements. Without this information, we won’t be able to process reimbursements for the well-being expenses you have submitted in the app.

I want to change my IBAN, what should I do?

If you want to change your IBAN, go to your profile within the Vitaance app. Then, click on “Settings” and select “My Banking Information.”

I'm leaving my company. What happens to the money in my account?

If you leave your company, the money in your account will be available until the last day of the month you depart. At that point, you will lose access to Vitaance, and any unused balance will be donated to an NGO.

Flexible remuneration

What is flexible remuneration?

Flexible remuneration allows employees resident in Spain to exchange part of their gross salary for tax-advantaged benefits, with limits for each category:

  • General Limit: Up to 30% of gross salary (fixed salary only). Salaries must exceed the national minimum wage.
  • Category-Specific Limits:
    • Meal Vouchers: Up to €11 per 20 working day, or €220/month depending on the employer decision.
    • Transportation: Up to €136.36 per month (€1,500/year) for public transport passes or company-arranged transport.
    • Childcare/Nursery Costs: No specific limit; falls under the general 30% cap. For children aged 0-3 years.
    • Training: No specific limit; falls under the general 30% cap. Training must be job-related and company-approved.
    • Medical Insurance: Up to €500 per year per insured person (€1,500 for disabled individuals). Excess amounts are taxable.

Additional Notes:

  • Tax Exemptions: Benefits are tax-exempt up to these limits but subject to social security contributions.
  • Voluntary: Employees must opt into plans, which are agreed upon with employers.
  • Regional Variations: Minor variations may exist due to regional agreements or incentives.
    • Alava: Transportation and Health insurance are not tax exempt; Nursery has a limit of €1.000/month.
    • Guipuzcoa & Vizcaya: Medical insurance is not tax exempt; Nursery has a limit of €1.000/month.
    • Navarra: Medical insurance has a limit of €500/month.

Meals and transportation

How do I make use of Meals and Transportation benefits?

You can submit your expenses based on the arrangement with your employer, either by using the Vitaance card for payments or by uploading proof of the expense. Detailed explanations of these methods are provided in the sections below.

When will my monthly amounts be reset?

Monthly amounts are typically reset around the 20th of each month, though this may vary depending on the employer’s specific arrangements. This timing ensures that all relevant expenses up to the 20th are accounted for before the monthly payslip is issued.

How can I check how much I have consumed and view recent transactions?

Within the Vitaance app, the Benefits page includes a dedicated area for flexible remuneration. Here, you can view a summary of your meal and transportation expenses, categorised as accepted, denied, or pending. Detailed information about each expense is also available. Additionally, users can navigate through past months to track their consumption over time.

Which vendors are authorised?

Meals
You can use this benefit for meals from any restaurant or canteen, whether they dine in, take out, or get delivery.

Transportation
Eligible
Passes or tickets for public collective transportation purchased at ticket offices, vending machines, websites, or mobile applications. Purchases of tickets for metro, bus, tram, and RENFE.

Not Eligible
Private transportation such as VTCs, taxis, private buses, scooters, electric motorcycles, air travel, etc., according to current regulations.

Vitaance card

How do I order a card?

You cannot order cards directly; your employer handles the process for you.

How do I activate the card?

You need to activate your card through the Vitaance app by accessing the activation banner on the Benefits page. The activation process includes:

  • Entering their phone number.
  • Inputting the token ID found on the back of the card.
  • Setting up a PIN (with a reminder to store it securely, as it cannot be saved by the app).
  • Instructions on syncing the PIN at an ATM.
How do I set up my PIN?

When activating the card, you can set up their PIN within the app during the activation process. However, since Vitaance cannot store the PIN, employees must save it securely. To make the card usable, the PIN must be synced at an ATM following the app’s instructions—setting it in the app alone is not sufficient.

How do I change my PIN?

To change the PIN, you need to visit an ATM, select the “Change PIN” option, and update it there.

How do I make a purchase?

To make a purchase, you can visit any authorised vendor in the Meals or Transportation environments and use the card just like a regular payment card.

Why did my expense get rejected when it should have been accepted?

If the card doesn’t recognize a vendor, it might be because the vendor is registered under a different category than those accepted by the card. Contact us to report this issue, and we’ll verify if the vendor can be added to the list of accepted vendors. If approved, you’ll be able to return and make a purchase with your Vitaance card.

What happens if my expense is bigger than the amount I have available in the card?

If you leave your company, the money in your account will be available until the last day of the month you depart. At that point, you will lose access to Vitaance, and any unused balance will be donated to an NGO.

How do I block my card?

In the app, you can navigate to Profile > Settings > My Flex. Rem. Card to change your card status.

What if I have lost my card?

To report your card as lost, go to Profile > Settings > My Flex. Rem. Card. Once reported, the card will be permanently deactivated, and a request for a new card will be sent to the Vitaance team. The cost of the new card will initially be covered by your company but may be charged to you later—please confirm this with your employer.

Proof of expense uploading

How does it work?
  1. Make a Purchase: Pay for meals or public transport with your preferred method.
  2. Upload Proof of Expense: Add the expense in the app by uploading your proof.
  3. Get Reimbursed: After validation, you’ll be reimbursed by month-end.
  4. Save on Taxes: Expenses are deducted from your gross salary, reducing your taxable income.
When will the reimbursement be processed?

After uploading an expense, the Vitaance team will review it within 3 days, letting you know if it was accepted or denied through the app. If accepted, you’ll be reimbursed in full around the 20th of the month. The amount will later be deducted from your payslip, with the benefit of IRPF tax exemption.

What happens if my expense is bigger than the amount I have available?

The expense will only be processed up to the amount you have available for spending under your flexible remuneration limit; any excess will not be covered.

Why do I need to provide my IBAN?

We need your IBAN to identify the account where you want to receive reimbursements. Without this information, we won’t be able to process reimbursements for the flexible remuneration expenses you have submitted in the app.

I want to change my IBAN, what should I do?

To change your IBAN, navigate to Profile > Settings > My Banking Information in the Vitaance app.

Nursery

How does it work?

Save on childcare costs for your children with income tax (IRPF) exemptions. While there’s no specific limit for this benefit, keep in mind that all tax-exempt benefits combined cannot exceed 30% of your gross annual salary.

Note: In Alava, Biscay, and Gipuzkoa, the exemption limit is up to €1,000.

1. Go to Flexible Remuneration, then select “Nursery”.

2. Tap “Add a request”.

3. Complete the form with your child’s and nursery’s information.

4. Your request will be processed, and you’ll be notified of the outcome.

What children are eligible?

Children between 0 and 3 years old.

Where can I use it?

Flexible remuneration can be applied for expenses at childcare facilities accredited by the autonomous communities.

Collective Life Insurance

What is the insurance, and how does it work?

What is an insurance policy?

It refers to a contract between two parties that outlines the terms of the insurance, including the rights and obligations. It consists of general conditions, specific conditions, special conditions (if any), and any amendments that modify the previous ones.

What is life insurance?

It is a contract that guarantees the payment of a sum of money to address unexpected situations of particular need.

Both you and your beneficiaries will have financial security in the form of compensation in the event of your death or disability.

In the case of a recognised permanent disability, you will be the one to receive this sum. In the event of death, your beneficiaries will receive it.

What is group life insurance?

Group Life Insurance is a type of insurance that provides coverage to multiple insured individuals under the same contract or policy.

Typically, the policyholder is a company or professional group to which the insured person is connected.

Can I have multiple life insurance policies?

Yes, and you can have different beneficiaries for each policy if you wish.

What is an individual insurance certificate?

It is a document issued by the insurance company provided to the insured as proof that they are included in the insurance policy.

The individual insurance certificate replicates the details of what the policy covers, such as guarantees and insured sums for each benefit, and, if applicable, the designated beneficiaries.

Do I need to undergo a medical examination?

Not always. Depending on your age and the insured sum, you may be asked to undergo some medical tests, ranging from a brief health questionnaire to a full medical examination. In the latter case, there will be no cost to you, as the insurance company will handle everything.

What is the premium?

It is the price you pay for the insurance. In life insurance, the premium depends on the insured amount, the age of the insured, as well as their health status and habits.

Will I always pay the same premium?

No. The premium for life insurance depends, among other factors, on the age of the insured. The older the insured, the higher the risk, and therefore, the higher the premium.

How does my policy work?

What is meant by permanent disability?

Permanent disability refers to anatomical or functional losses that result in irreversible physical consequences for the insured.

From the perspective of Life Insurance, there are three types of permanent disability that can be covered by the insurance: Total Permanent Disability, Absolute Permanent Disability, and Severe Disability.

What is meant by Total Permanent Disability (TPD)?

Total Permanent Disability (TPD) for the usual profession refers to a condition that prevents the worker from performing all or essential tasks of their usual profession, as long as they can engage in different work. This guarantee must be specifically contracted for this coverage to apply.

What is meant by Absolute Permanent Disability (APD)?

Absolute Permanent Disability (APD) is a condition that completely incapacitates the worker for any profession or trade. To receive compensation, this guarantee or Total Permanent Disability must be specifically contracted.

What is meant by Severe Disability (SD)?

Severe Disability (SD) refers to a condition that completely incapacitates the worker from performing the most essential activities of daily life, such as dressing, grooming, moving, and requires assistance from another person to carry out these tasks.

To receive compensation, this guarantee or the guarantees of Absolute Permanent Disability or Total Permanent Disability must be specifically contracted.

What is the difference between Total Permanent Disability and Absolute Permanent Disability?

Total Permanent Disability incapacitates a person from performing the main tasks of their profession, but they can engage in a different one.

Absolute Permanent Disability, on the other hand, completely incapacitates a person from any trade or profession.

Is disability the same as incapacity?

How long do I have coverage under the insurance?

As long as the policy remains active with your company and you continue to be their employee, you will have coverage until age 70 for death from any cause, and until age 67 for the additional guarantees that your company has contracted.

Who are my beneficiaries?

In the event of death, the beneficiaries will be the individuals you designate in communications made after your enrollment. If you have not designated anyone, your beneficiaries will be the following individuals in this order of preference: first, your spouse; if not, your children; if not, your parents; and if not, your legal heirs. In the case of disability, you will be the beneficiary of the insurance.

How can I change my beneficiaries?

What to do in the event of a claim?

What documentation is needed to process a claim for death?

How long do I have coverage under the insurance?
